Job Objective
To ensure professional and on-time reception of the guest at the airport, and ensure guest safety and comfort till the guest reaches hotel premises, with adherence to brand standards and process guidelines.
Essential Job Tasks
Areas of Responsibility
Financials
*Ensures cross selling other hotel services like Spa, Restaurants, Travel Services etc.
*Contributes to the transport revenue budgets.
*Tracks actual expenditure based on allocated budgets from superiors on staff allowance - meals on duty, phone bills, conveyance, giveaways for government officials, customs, airline staff and immigrations officials.
*Converts guests who are seeking information for hotel accommodations to one of the IHCL Hotels in the city.
Process
'*Track actual expenditure based on allocated budgets on staff allowance - meals on duty, conveyance, giveaways for government officials, customs, airline staff, immigrations officials etc.
*Deploy staff to the respective shifts based on availability and requirements. Brief staff on the duties for the day, shift handovers, customer complaints received etc.
*Identify the VIPs and coordinate with the Airport Representatives for their pick up and services. Keep them informed of any changes in flight details, car types and additional guest requirements as expressed by them.
*Review the pick-up list on the system and assign the pick-ups and the official duties to the airport representatives, co-ordinate and take feedback from them after each shift and take corrective action as required. Handle escalations or problems by arranging back-up, liaising with external authorities.
*Liaise with the relevant government officials like the Airport Authority officials, Custom Authorities, Immigration officials, Airline officials, Airport Security officials, Airport Pass section officials, Traffic police officials etc. on a regular basis to maintain relations.
*Conduct surprise visits at the airport to check for compliance with SOPs and grooming standards, identify difficulties staff face at the airport, meet relevant authorities to resolve issues. *Maintain the file of the records for at least three months of pick-up lists, official duties, meal & conveyance records of all airport representatives, rosters and attendance.
*To conduct briefings and trainings of the chauffeurs.
Customer
'*Handles guest arrival with pick up request, and arranges the transportation.
*Assists with guest luggage as and when required.
*Provides information on all the hotel facilities to the guest and assists them to the car.
*Available at all scheduled flight landings and assist incoming guests with baggage clearance and directs them to the transport facilities.
*Maintains a good relationship with airline personnel, immigration and custom officers under the guidance of the Manager.
*Provides a good service and maintains close relationship with all official sectors at the airport and maintains a spirit of team work among the hotel’s personnel. Submits names and arrival flight numbers to the service staff.
People
*Assists in the learning and development of the team.
*Establishes and maintains open, collaborative relationships with associates and ensures associates do the same within the team.
*Prepares departments duty rosters and approves leave in consultation with the department head.
*Communicates expectations, recognizes performance, and produces desired results with associates within the department.
*Maintains a culture of recognition by actively participating in the STARS (Special Thanks and Recognition System) Program.
Required Qualifications
Degree in Hospitality Management.
Work Experience
At least 1 year of relevant experience at a managerial position or 3 years of relevant experience at a supervisory level.
