Job Objective
• Provide high-level administrative support to the General Manager, ensuring efficient operation of the office and smooth communication across departments.
• Act as a key liaison, coordinating and managing the General Manager's schedule, communications, and administrative tasks.
• Support the hotel’s goals of excellence in business and luxury service standards, contributing to the overall success of operations.
Essential Job Tasks
• Provide day-to-day administrative support to the General Manager, including managing their calendar, scheduling meetings, handling correspondence, and organizing travel arrangements.
• Arrange and coordinate meetings, briefings, and conferences for the General Manager, including preparing agendas, taking minutes, and following up on action items.
• Organize domestic and international travel arrangements for the General Manager, ensuring efficiency and cost-effectiveness.
• Serve as the first point of contact between the General Manager’s office and internal/external stakeholders, managing communication and ensuring timely responses.
• Ensure that the General Manager’s office runs smoothly by managing day-to-day office tasks, supplies, and maintaining a neat, professional working environment.
Areas of Responsibility
• Prepare and maintain reports, presentations, and other documents for meetings and presentations. Ensure that all documents are filed and organized efficiently.
• Assist with the planning and execution of events and functions involving the General Manager, ensuring alignment with the hotel's business and luxury standards.
• Handle confidential information with discretion and maintain privacy regarding sensitive matters.
• Provide administrative support for special projects initiated by the General Manager, assisting in research, document preparation, and logistics as needed.
• Coordinate with other departments to ensure the General Manager’s priorities and requests are handled efficiently and in a timely manner.
• Perform any other administrative duties as required, ensuring flexibility and adaptability in handling varied responsibilities.
• Uphold the Tata Code of Conduct, safety policies, and adhere to organizational values.
Act as a support to other departments whenever required.
Required Qualifications
• Graduate / Post Graduate Degree
• Excellent proficiency in computers - MS Office , Word , Excel , Powerpoint
• Good command over English and excellent typing skills
Work Experience
Minimum experience of 8 years as a Secretary
Languages Needed in Position
Should be fluent in both English, Hindi .
Key Interfaces- External
Prepare feedback and respond to guest complaints timely.
Key Interfaces- Internal
'*Prepare minutes of the meetings for Morning Meetings , NPS Review , Strategy Meet etc. *Prepare presntations to analyze data pertaining to NPS etc
